Create an Email Briefing Containing Monitoring Results

Create and share professional email briefings using your saved monitoring coverage.

Email Briefings let you share selected monitoring coverage with colleagues, executives, or clients in a polished, customizable email.

You can:

  • create a one-time briefing from saved coverage

  • organize mentions into sections

  • customize the layout and branding

  • schedule or immediately deliver the briefing

  • save your design as a reusable template

🔹 Before You Begin

Ensure you have saved coverage available in one of the following:

  • A Folder

  • A Tag

  • A Tag Group

  • All Saved Coverage


🔹 Create a New Briefing

Navigate to:

Briefings → New Briefing

Choose one of the following:

  • Standard Template

  • Saved Template

  • Copy a Previous Briefing

Then select Create Briefing.


🔹 Add Your Coverage

You can build your briefing in one of two ways.

Option 1: Quick Create

Quick Create automatically builds a briefing based on your selected coverage.

Simply choose:

  • coverage source

  • date range

  • organization method

  • sorting option

Agility generates a nearly complete briefing based on your selections. You can review and customize the layout, content, and formatting before sending it.


Option 2: Build Manually

To build your briefing from scratch:

Add coverage from:

  • Folder

  • Tag

  • Tag Group

  • All Saved Coverage


Select the mentions you want.

Click Add.

Save your briefing as a draft.


🔹 Organize Your Briefing

A briefing is made up of sections and content blocks.

You can add and arrange content such as:

  • Titles

  • Text

  • Images

  • Dates

  • Saved Coverage

  • Charts

  • AI-generated content (where available)

Sections and content blocks can be reordered using the controls beside each item.


Create Custom Sections

You can organize coverage however you like.

For example:

  • Executive Summary

  • Positive Coverage

  • Product Launch

  • Customer Stories

  • Social Media

To create a section:

  1. Select Add Section.

  2. Enter a section name.

  3. Move coverage into the section.

Sections can be reordered using drag and drop.


🔹Customize Images

When adding images to your briefing, you can customize how they appear.

Available options include:

  • Add alt text for improved accessibility

  • Add image captions

  • Add hyperlinks

  • Resize images

  • Adjust image positioning within the layout

These settings help you create more polished and accessible briefings.


🔹 Customize the Layout

Choose how your briefing is displayed using drag-and-drop layout blocks.

You can create:

  • single-column layouts

  • two-column layouts

  • three-column layouts

Mix and match:

  • coverage

  • charts

  • images

  • text

  • titles

  • AI content

to create professional-looking briefings.

🔹 Include Intelligent Insights (Optional)

If Intelligent Insights is enabled for your account, you can include AI-generated analysis in your briefing.

Within Briefing Section Settings, enable:

Show Insights

You can also choose whether to include the Intelligent Insights, allowing recipients to open the online version of the briefing and interact with the analysis themselves.

Allow Recipients to Interact with Intelligent Insights

If you'd like recipients to explore the AI analysis themselves, enable Include Intelligent Insights Link under Delivery Options.

This adds a link to the online version of the briefing, where recipients can interact with Intelligent Insights and generate their own analysis.


🔹 Organize Your Mentions into Sections

Instead of manually moving mentions into each section, you can apply filters that automatically organize your coverage.

For example, you could create sections for Positive, Neutral, and Negative coverage by applying a Sentiment filter to each section.

To configure automatic organization:

  1. Select the Filter option for the section.

  2. Choose one or more of the available content filters.

  3. Click Re-organize Mentions to automatically place matching coverage into the appropriate sections.

This makes it easy to automatically organize your saved coverage into sections without manually moving individual mentions.


🔹 Mention Display Settings

Go to the section settings area on the right-side panel (wrench icon), and scroll down to the mention styles settings to choose what information you would like shown against each mention. Here, you can also customize the look of your briefing, making changes to fonts, point size, color, etc.

You can elect to include a snippet of the article to accompany the clickable headline, and accompany that with a selection of Metadata.

Your briefings can also highlight the keywords that generate your media coverage mentions. So, when you and your colleagues receive your daily email briefings, you will instantly be guided to the mention of your company, representative, product etc.

Optionally, you can select the "Notes" box to display any notes you have added to individual mentions ahead of time, and further customize how these are displayed.


🔹 Save as a Template

If you expect to create similar briefings in the future, save your design as a template.

Templates preserve:

  • layout

  • styling

  • sections

  • filters

  • mention display settings

Saved Coverage sections remain, but individual mentions are not saved.

Automatic sections retain their Topic configuration, which can be updated in future briefings.


🔹 Preview Your Briefing

Before sending your briefing:

  1. Save it as a draft.

  2. Select Preview.

You can preview:

  • in your browser

  • by email

To share a draft before publishing, select Publish Draft and send the generated Reserved URL.

Note: Reserved URLs aren't available for recurring briefings.


🔹 Deliver Your Briefing

Configure:

  • recipients

  • sender

  • delivery options

  • scheduling

Then select Send.

You can send the briefing immediately or schedule it for a future date and time.

🔹 Review Briefing Performance

After your briefing has been delivered, you can review its distribution report.

Reports show recipient engagement, including:

  • email opens

  • interaction with briefing content

Distribution reports work the same way as email distribution reporting.

  • Save important coverage before creating a briefing.

  • Use sections to organize stories into logical groups.

  • Use Quick Create when you need a briefing quickly.

  • Save frequently used layouts as templates.

  • Preview every briefing before sending it.

  • Include Intelligent Insights when stakeholders need additional context.


Frequently Asked Questions

What's the difference between a manual briefing and an automated briefing?

A manual briefing is created from saved coverage that you select.

An automated briefing delivers new coverage on a schedule using a monitoring Topic.


Can I reuse a briefing layout?

Yes.

Save your briefing as a template to reuse its layout, sections, styling, and display settings.


Can I organize coverage automatically?

Yes.

Sections can automatically organize mentions using the available content filters in Agility. For example, the article above demonstrates organizing sections by Sentiment.


Can I preview a briefing before sending it?

Yes.

Save the briefing as a draft, then use Preview to review it in your browser or by email.


Can recipients interact with Intelligent Insights?

Yes.

If you include the Intelligent Insights Link, recipients can open the online version and interact with the AI-generated analysis.


Why don't I see the "Save as Template" option?

The Save as Template option is only available after you've saved your briefing as a Draft.

To update a template:

  1. Create or open your briefing.

  2. Make your changes (such as updating the banner).

  3. Click Save as Draft.

  4. Select Save as Template to create a new template with your changes.

Existing templates cannot be edited directly. Saving as a template creates a new template that you can use for future briefings.


Can other users in my Agility account see my Monitoring Reports?

Yes. Monitoring Reports are visible to users within the same Agility account, so teammates with seats on your account can access them without creating a separate shared report.

Use Share Report when you want to provide access outside your Agility account or create a shareable interactive link.
