How to create an Automated Briefing

Start receiving automated emails containing your recent coverage

Agility enables you to create briefings either by manually curating your selected mentions, or by setting up an automatic collection of all mentions.

To create an automated brief firstly ensure that you have set up a topic.

Getting started

Click on New Briefing. You will get the following pop up, asking you to select a template. There are 3 standard templates you can choose from. You can also select a saved template (once you have one saved) or copy a past briefing.



Using Quick Create option

You can use ‘Quick Create’ which enables you to specify the sources, date range and section/mention organization for your briefing quickly.

Constructing a New Automated Briefing (without Quick Create)

1. Start by giving your briefing a name on the top right.

2. You can choose to add any of the following components to your brief.

3.This screenshot above shows an image, date, text and title, in that order. To re-order the sections, hover over each section and click on the arrows on the right hand-side.

4. We can manage images by adding alt-text, links and captions, as well as by resizing them and positioning them as we want:

5. Click on Automatically add coverage.

6. Complete the following components in the pop up window and click ADD. You can select the source as topic, folder, subscription, source group or, for Social Listening users, social topic or theme.

Optionally, you can also choose to apply filters to the source data using the "filter icon" beside the chosen Topic source.

7. The automatic briefing component has been added to the brief template.

8. Select Mention Display Settings to choose what information you would like shown against each mention. Here, you can also customize the look of your briefing, making changes to fonts, point size, color, etc.

You can elect to include a snippet of the article to accompany the clickable headline, and accompany that with a selection of Metadata.

8. You can now use drag-and-drop layout blocks when formatting your briefings, allowing you to choose from a range of options for presenting your media coverage.

Layouts

For example, if you want to include coverage charts side-by-side in a media briefing, such as below. You can use any briefing component within the new layout options.

Your briefings can also highlight the keywords that generate your media coverage mentions. So, when you and your colleagues receive your daily email briefings, you will instantly be guided to the mention of your company, representative, product etc.

Empty Briefings and Sections

Occasionally your topics may not generate any results and so a briefing or a section may be empty. You can decide whether you still want the briefing to be delivered and any/or any empty sections to be included within the Other Settings:

Templates

Once you have saved a briefing, you will see the option to save as template at the bottom of the screen. You will then get the option to use it next time.

Saved templates retain all the settings that you apply – sections, layout, custom style, filters, metadata etc.

Saved coverage sections are saved but the mentions themselves are not kept. Automatic coverage sections do retain the topics applied to them, which can be swapped if required in the new briefing.

For one-off briefings, to share a draft of an unpublished briefing, go to the foot of the briefing settings and click 'Publish Draft'. By sharing the Reserved URL you can give colleagues and stakeholders a preview of your briefing before it goes live. Reserved URLs are not generated for recurring briefings.


Delivery

  1. Complete the Delivery options for your automated brief.

  2. Specify your scheduling for the automated brief select Recurring.

  3. Click on start

  4. Tick the I agree box and click on Agree and send

To receive more than one recurring briefing per day simply click the plus symbol next to the time setting and select the times at which you’d like your subsequent briefings to be delivered.

To edit your recurring briefing at any time, simply pause it, make the changes and start it again.

Reporting
Once your briefing has been distributed, you can view a distribution report to check which of your recipients has opened and interacted with your briefing content. This works in the same way as email distribution reporting.

For recurring automated briefings, simply select the briefing on the left hand side and click the arrow pointing right. The dates with reporting available will be presented:
