Use PR CoPilot to Create, Personalize and Target your Media Outreach

PR CoPilot helps you streamline every stage of your email distribution in Agility PR Solutions—from drafting content to personalizing outreach and selecting media contacts. Whether you're starting from scratch or improving an existing message, CoPilot offers guided support along the way.

🔹 Get Started with PR CoPilot

Begin in Media Relations > Email Distributions, and click New Distribution. Choose the Blank Template.

If you want PR CoPilot to create your content for you, toggle PR CoPilot ON before clicking Create Distribution.
If you just want help refining or targeting contacts later, you can leave it off.


🔹 Generate Your First Draft

Once CoPilot is active:

  • Enter up to 3 key messages

  • Add any optional quotes

  • Choose the output type (press release or email pitch)

  • Set tone, language, and length

Click Generate, and PR CoPilot will build a structured draft with sections like:

  • Subject line

  • Headline

  • Body

  • Quote

  • About Us / Contact

You can edit or regenerate any section. Before continuing, you'll need to review and accept responsibility for the AI-generated content. (You can skip this message in future sends.)

Click Apply to move the content into the Compose tab. It will appear pre-formatted using layout blocks.


🔹 Add Header Details

Don’t forget to complete the From Name and Reply-To Email fields at the top of your distribution. This ensures your message is properly attributed and replies are directed where they should go.


🔹 Refine and Polish Content

Inside the Compose tab, PR CoPilot provides prompt-based editing tools. You can:

  • Fix grammar

  • Adjust tone

  • Shorten or expand content

  • Translate into another language

  • Or create your own prompt (e.g., “Make this more persuasive”)

Want to edit just one sentence? Highlight specific text and apply a prompt directly. This gives you full control over localized refinements.


🔹 Add Personalization

Use merge tags to insert recipient-specific details like first name or organization.

For more advanced personalization, PR CoPilot can generate individualized introductions based on your outreach goals (e.g., podcast invite, product coverage). You can set:

  • Tone and urgency

  • Language

  • Notes about your relationship with the contact

These intros are generated one at a time—perfect for high-priority contacts. For large distributions, stick with name-only personalization for efficiency.

Before using AI-generated intros, you’ll need to confirm your review and acceptance for each one.


🔹 Find and Add Contacts with PR CoPilot

Once your content is finalized, click Find Contacts.

PR CoPilot will scan your content and suggest media contacts based on:

  • Topic

  • Region

  • Keywords

  • Market sector

  • Audience relevance

Each contact comes with profile info, recent coverage, and outlet details. You can adjust filters using Quick Edit or launch a full search via Media Targeting.

You can also combine these suggestions with your saved media lists for a comprehensive outreach.


🔹 Finalize and Send

When everything looks good, hit Save to keep your draft.

From there, you can preview, schedule, or send your distribution. Be sure to check your tracking settings to monitor opens and clicks.
