Agility gives you the flexibility to add your own private contacts, which are visible only within your account. You can add them individually or import them in bulk from a .CSV file.

🔹Adding Contacts Through Bulk Import
Agility’s import tool makes it easy to work with lists created outside of the platform — whether you’ve been maintaining them yourself or are moving them from another service.
🔹Preparing the Excel Data File
The Excel file must contain the following mandatory information for the import to process successfully:
Full Name
Email Address
Other columns can also be included (for example: Telephone Number, Outlet Name, Twitter Handle), but these are not mandatory.
Notes:
If you do not have the first and last name, you can enter placeholder data such as First Name 1, First Name 2, Last Name 1, Last Name 2, etc.
Your Excel can contain First Name and Last Name in two separate columns, or the Full Name in one column. Either way works fine.
Once complete, save the Excel spreadsheet as a .CSV (comma delimited) file.
🔹 The Import Process
Step 1: Go to Media Relations > Private Contacts > Import Contacts.
Step 2: Click Start Importing Contacts, then browse your computer for your CSV file.
You can select up to 20 individual files to import and choose to:
Import them as one combined list, or
Import them as individual lists.
Step 3: Use the drop-down menus to map the fields in Agility to the columns in your CSV file.
Notes:
During the import process, you will see multiple name fields marked with asterisks, including:
First Name
Last Name
Full Name (First, Last)
Full Name (Last, First)
These are not all required simultaneously. They are alternative formats for the name field.
For example, if your CSV displays the contact’s Full Name in a single column, review the field mapping to ensure it matches the name structure used in your file—e.g., Full Name (First Last) or Full Name (Last First), and select the field that matches the name format in your CSV.
Step 4: Decide whether you want to match your contacts to existing Agility contacts.
A match will occur when both the name and email address are the same.
Select "Match and Replace with Agility Contacts" option if you want to add the Agility version of the contact to your list rather than your private version — this ensures Agility’s media research team continues to keep that contact up to date for you.
Step 5: Under Import Options, you'll see the following choices:
Import as Individual Contacts - contacts will be imported to your account and can be found under Media Relations > Private Contacts, but not added to a list.
Import and Add to List(s) - contacts will be imported and added to selected list(s).
Import and Add to List(s) per File - choose this option if you’re importing multiple CSV files at once and want each file’s contacts added to the selected list(s).
If you haven’t created any lists yet, you can do so at this stage. Adding contacts to a list is recommended, as it makes it easier to find your private contacts later under Media Relations > Targeted Lists.
This video demonstrates how to add contacts to list(s) from a single or multiple CSV imports.
Step 6: Enter an email address to receive a notification confirming the status of the import.
Step 7: Click Import.
You will receive an email once the import is complete, explaining the status and result for each contact.
Note: Imports can take some time depending on how many lists are being processed. Agility will allow you to continue working while the lists are being imported in the background.
🔹 Adding Contacts One by One
If you are unable to find a contact in Agility, you can add your own so they’re immediately available for distributions.
To add a private contact manually, follow these steps:
Step 1: Go to Media Relations > Private Contacts > Create Contact.
Step 2: Add the contact’s First Name, Last Name, and Email Address, plus any other information you have.
Step 3: Click Create Contact.
Your private contact is now saved and can be added to any of your targeted lists.
