How do I add private contacts to my Agility account?

How to integrate your private contacts into your Agility account and targeted lists

Agility gives you the flexibility to add your own private contacts, which are visible only within your account. You can add them individually or import them in bulk from a .CSV file.

🔹Adding Contacts Through Bulk Import

Agility’s import tool makes it easy to work with lists created outside of the platform — whether you’ve been maintaining them yourself or are moving them from another service.


🔹Preparing the Excel Data File

Your CSV file must contain the following required information:

  • Full Name

  • Email Address

You can also include additional information such as:

  • Telephone Number

  • Outlet Name

  • Twitter Handle

These fields are optional but can help complete your contact records.

Notes

  • If you don't have a contact's first and last name, you can use placeholder values such as First Name 1, Last Name 1, and so on.

  • Your file can contain either:

    • Separate First Name and Last Name columns, or

    • A single Full Name column.

Once your spreadsheet is complete, save it as a CSV (Comma Delimited) file before importing.


🔹 Import Your Contacts

Step 1

Go to Media Relations > Private Contacts > Import Contacts.

Step 2

Click Start Importing Contacts, then browse your computer and select your CSV file.

You can import up to 20 CSV files at one time and choose to:

  • Import all files as one combined list, or

  • Import each file as a separate list.


Step 3

Use the drop-down menus to map your CSV columns to the appropriate Agility fields.

Agility supports multiple name formats, making it easier to import contacts from a variety of CSV files.

Depending on how your file is structured, you can map:

  • First Name

  • Last Name

  • Full Name (First Last)

  • Full Name (Last First)

Simply choose the format that matches your CSV file. In most cases, you won't need to reformat your spreadsheet before importing.

For example, if your CSV stores each contact's full name in a single column, select either Full Name (First Last) or Full Name (Last First), depending on how the names are formatted.

Step 4

Decide whether you'd like to match imported contacts with existing Agility contacts.

A match occurs when both the contact's name and email address are the same.

Select Match and Replace with Agility Contacts if you'd like to replace your private contact with Agility's maintained version. This allows Agility's media research team to continue keeping the contact information up to date for you.

Step 5

Choose one of the following import options:

  • Import as Individual Contacts — Imports contacts into Media Relations > Private Contacts without adding them to a list.

  • Import and Add to List(s) — Imports contacts and adds them to one or more selected lists.

  • Import and Add to List(s) per File — If importing multiple CSV files, each file can be added to its own selected list.

If you haven't created any lists yet, you can create them during the import process. Organizing contacts into lists makes them much easier to manage later from Media Relations > Targeted Lists.

Step 6

Enter an email address where you'd like to receive the import status notification.

Step 7

Click Import.

Once the import is complete, you'll receive an email summarizing the results for each contact.

Note: Large imports may take some time to process. You can continue working in Agility while your contacts are imported in the background.



🔹 Add Contacts Individually

If you can't find a contact in Agility, you can add your own private contact so it's immediately available for media outreach.

Step 1

Go to Media Relations > Private Contacts > Create Contact.

Step 2

Enter the contact's:

  • First Name

  • Last Name

  • Email Address

You can also add any additional information you have available.

Step 3

Click Create Contact.

Your private contact is now available and can be added to any of your targeted lists.
