🔹What is Email Personalization?
The platform allows you to personalize your email distributions for each recipient by using personalization settings. These personalizations pull information from each recipient's Agility profile or from your private contacts and place them within the email body.
Let’s walk through the simple steps to make your emails more engaging and personal.
🔹Craft Personalized Greetings and Messages
Start by making your greetings shine! You can personalize the greeting in your email using dynamic personalization settings. These options pull data from each recipient’s Agility profile or your private contacts to make your message feel extra special.
Available Personalization Options:
Name Prefix - Add a formal touch where appropriate
First Name - Create an immediate personal connection
Last Name - Perfect for more formal communications
Outlet Name - Show you recognize their publication
X Handle - Acknowledge their social media presence
Intro - Add custom opening messages for key contacts
Outro - Close with personalized remarks
For example, adding First Name inserts the mail merge tag [%FNAME%] into your text, transforming a generic greeting into a warm, personal welcome (e.g., "Dear Susan"). This small change can significantly increase your open and response rates!
Important Note: Information will only be inserted where it is available on the contact's profile. Prefixes are only supported in German, French, Spanish, Italian, and Portuguese.
Tip: If some recipient information is missing, don’t worry! You can specify fallback text using the pencil icon—so if the first name is missing, you can simply default to "Dear Valued Customer." Everyone gets a warm, personal touch!
🔹Step-by-Step Guide to Creating Personalized Emails
Step 1: Compose Your Email
Start in the Compose section by drafting your main email content. This is where you'll write your key messaging about your campaign or announcement. To prepare for personalization, include placeholder tags where you want recipient-specific information to appear.
Step 2: Add Basic Personalization Tags
You have options to personalize fields like First Name, Last Name, and Name Prefix. To add the recipient's First Name, select 'First Name' from the dropdown list. This will insert a mail merge tag into your text, and the recipient's first name will automatically populate where the tag is placed.
Step 3: Add Personalized Intro Messages (Optional)
To take personalization further, let's add a personalized message, or an intro, for specific contacts. Add the INTRO personalization tag [%INTRO%] where you want the personalized message to appear in your email.
Step 4: Save Your Draft
Once your email draft is complete with all necessary personalization tags, save your draft to enable the customization features.
Step 5: Move to the Personalize Tab
Click on the Personalize tab in the workflow bar. This is where the magic happens—transforming a generic email into a personalized communication.
Step 6: Customize Basic Personalization
In the Personalization section, you'll first see 'First Name' selected in the dropdown menu. Below, you'll find your complete recipient list. For each contact, you have two options:
Use their standard database name in the System column
Create a customized version in the Custom column
Step 7: Add Custom Intro Messages
Now, let's move on to adding a personalized message to your individual contacts. In the Personalization dropdown, select Personalized Intro. For each recipient, you can either leave it blank or create a custom introduction.
To add a custom intro:
Click the pencil icon next to a recipient's name
In the Intro Setup window, write your custom intro in the text editor
