Connect your Outlook or Gmail account to Agility to send email distributions from your own email address while continuing to use Agility's reporting and reply management features. Connected email accounts are ideal for personalized outreach while keeping all your reporting in one place.
🔹 Video Tutorial
This video demonstrates connecting a Microsoft Outlook account. If you're connecting a Gmail account, follow the Gmail-specific authentication steps below after clicking Connect.
🔹 Connect an Email Account
The following steps are the same whether you're connecting a Microsoft Outlook or Gmail account.
Log in to your Agility account.
Navigate to Account > Content Management > Data Connections.
Select Email Account.
Configure the connection:
Choose your preferred Privacy setting.
Select Only Me if you want the connection to remain private.
Select All Users Within This Account if you want other users to be able to use the connected email account.
Enter a Connection Name.
Enter the email address you want to connect.
Click Connect.
At this point, the setup process differs slightly depending on whether you're connecting a Microsoft Outlook or Gmail account.
🔹 Complete the Microsoft Outlook Connection
After clicking Connect, a secure sign-in window will open.
Select Continue with Microsoft or choose Microsoft from the list of providers.
2. Sign in with your Microsoft account and follow the prompts to authorize Agility to access your email account.
3. Once authorization is complete, you'll be returned to Agility and your connected Outlook account will appear under Data Connections.
🔹 Complete the Gmail Connection
If you're connecting a Gmail account, you'll be guided through Google's secure authentication process.
1. Continue with Google
A secure sign-in window will open.
Click Continue with Google.
2. Sign in to Your Google Account
Select the Google account you want to connect and click Continue.
3. Review Google's Permission Request
Google will display the permissions Agility requires to connect your Gmail account.
Review the requested permissions, then click Continue.
4. Choose Ongoing Access (Recommended)
Google gives you the option to allow Agility ongoing access to your Gmail account.
We recommend leaving this option enabled.
If ongoing access is not enabled, Google will require you to renew the connection approximately every six months. If the connection expires, scheduled email distributions and other features that rely on the connected account may stop working until the connection is reauthorized.
After reviewing the permissions, click Continue.
5. Connection Complete
After authorization is complete, you'll be returned to Agility.
Your connected Gmail account will now appear in Data Connections and is ready to use.
🔹 Send Email Distributions Using Your Connected Email Account
Once you've connected your email account, you can use it when creating email distributions.
Navigate to Media Relations > Email Distributions.
Click New Distribution.
In the From Email field, select the connected Outlook or Gmail account you want to use.
Connecting your own email account also allows you to remove the otherwise mandatory Agility email footer by deselecting Include Footer in the right-hand settings panel.
Continue creating your email by adding recipients, personalizing your message, and attaching any files.
Click Send when you're ready.
Note: Connected email accounts are best suited for personalized outreach and smaller email distributions.
You can also email media contacts directly from anywhere within Agility by clicking the Email Contact (pencil) icon next to a contact.
🔹 Reporting and Managing Replies
One of the key benefits of connecting your own email account is that you can continue managing replies and reporting without leaving Agility.
View Email Reporting
After sending a distribution, navigate to Email Reporting to view:
Open rates
Click-through rates
Delivery information
Replies
Manage Replies
Replies sent to your connected Outlook or Gmail account will also appear within Agility's reporting interface, allowing you to keep your communication organized in one place.
You can reply directly from the reporting interface without switching to your personal inbox.
🔹 Important Things to Know
Supported Email Providers
Agility currently supports:
Microsoft Outlook
Gmail
Additional providers may be added in the future.
Sending Limits
Connected email accounts are intended for personalized outreach rather than large-scale email campaigns.
Microsoft Outlook and Gmail both enforce sending limits. Exceeding those limits may temporarily prevent you from sending additional emails.
Agility will display warnings before sending larger distributions.
Spam Protection
Sending a high volume of emails from a connected account may cause your email provider to flag the account for suspicious activity or spam.
For best results, use connected email accounts for smaller, targeted distributions.
Privacy & Sharing
Connected email accounts are private by default unless you choose to share them during setup.
If you want other users on your account to send emails from the connected address, select the appropriate privacy setting when creating the connection.
🔹 Other Considerations
Email History
Emails sent through a connected Outlook or Gmail account can be viewed in Agility's Email Reporting.
Replies will also continue to appear in your Outlook or Gmail inbox.
Best Use Cases
Connected email accounts are ideal for:
Personalized media outreach
One-to-one communication
Smaller targeted email distributions
For larger email campaigns, we recommend using Agility's standard email distribution capabilities.
📝 Summary
Connecting your Outlook or Gmail account lets you send email distributions from your own email address while continuing to use Agility's reporting, reply tracking, and communication history.
Connected email accounts are ideal for personalized outreach, direct communication with media contacts, and smaller email distributions while keeping all reporting and replies centralized within Agility.
